Siteward 0.15: Rename Sites, Site Notes and Client Reminders

Siteward 0.15 lets you rename any connected site and keep notes on each one, all free. Siteward Pro 0.12 adds client details and reminders: record each client’s name, email, phone and price, and get an email before a hosting renewal, maintenance contract or any other date comes round. Both updates are available now through the normal WordPress update screens.

Both features came straight from customer emails. One person wanted everything about their clients in one place instead of spread across spreadsheets and calendars. Another wanted to fix a site’s name after connecting it. Here is what changed.

Rename a site (free)

A site used to keep the name it had when you connected it. Now there is a Rename button next to the name at the top of every site’s page. Type the new name and press Enter.

The name only changes inside Siteward. The site’s own title, address and connection are not touched, and the new name stays put through every sync. Use it to put the client’s name first, add a location, or match the name you use on invoices.

Notes on every site (free)

Each site’s page now has a Notes section for anything you need to hand: the client contact and their phone number, which host and plan the site is on, where the DNS lives, quirks to remember before updating.

  • Web and email addresses in your notes become links you can click.
  • The search on the Sites page now looks in notes too, so typing a client’s name or phone number finds their site.
  • Sites with notes show a small note icon on the Sites list.
  • Notes are plain text, kept on your own dashboard and seen only by people who can manage it. They are never sent to the managed site.

Client details and reminders (Pro)

With Siteward Pro, each site’s page also has a Client & reminders section.

Client details: the client’s name or business, email, phone and price, with one-click links to email or call them. The client’s name, email and phone are searchable from the Sites page as well.

Reminders are for anything with a date:

  • Set a reminder for a hosting renewal, a maintenance contract, a licence that needs renewing, or a check-in call.
  • Choose whether it happens once, every month or every year.
  • Choose when you hear about it: on the day, or 1, 3, 7, 14, 30, 60 or 90 days before.
  • The email goes to the same people who get your Siteward alerts, and names the site, the client and their contact details, so you can act straight from your inbox.
  • Reminders still arrive while a site’s notifications are paused for maintenance, and if your dashboard’s scheduled tasks miss a day, the reminder is sent late rather than lost.

SSL certificates and domain registrations do not need a reminder: Siteward Pro already reads their expiry dates automatically and warns you before they lapse.

How to update

  1. On your Siteward dashboard, go to Dashboard → Updates and update Siteward to 0.15. Your managed sites do not need anything new.
  2. If you have Pro, update Siteward Pro to 0.12 from the same screen. It needs Siteward 0.15 or later.
  3. Open any site from the Sites page and look for Rename next to its name, then Notes and Client & reminders further down.

FAQ

Common questions

Can I rename a site in Siteward after connecting it?

Yes. From Siteward 0.15, open the site from the Sites page and click Rename next to its name. The new name is only used inside Siteward: the site's own title, address and connection are unchanged, and the name stays the same through every sync.

Where are Siteward site notes stored, and who can see them?

Notes are stored on your own Siteward dashboard, in its database, and are never sent to the managed site. Only people who can manage the dashboard (WordPress administrators) can see them. They are plain text, so avoid keeping passwords in them.

Can Siteward remind me about hosting renewals?

Yes, with Siteward Pro 0.12 or later. Add a reminder on the site's page with a date, whether it repeats monthly or yearly, and how many days before you want the email. It goes to the same people who receive your Siteward alerts. SSL certificates and domain registrations are watched automatically, so they do not need a reminder.

Do I need to update my managed sites for these features?

No. Rename, notes, client details and reminders all live on the dashboard. Update Siteward to 0.15, and Siteward Pro to 0.12 if you use Pro; nothing changes on the sites you manage.
